Quality Claims and Replacement, Settled on the Drawing

A claim is judged against one document — your drawing. Send the batch number and photos and you have a written disposition inside 12 hours. If we still disagree, a third-party laboratory settles it, and HIMORE advances the fee.

Where the line is

Four conditions make a batch ours to fix

A part is nonconforming when it misses the drawing or the performance requirement behind it. Four things qualify. Everything else is still a conversation — but not a free replacement.

Out of tolerance

Any dimension outside the limit on your drawing: thread form and pitch, head diameter and height, length, runout, concentricity.

Wrong material or class

Grade, hardness or tensile strength not what the drawing and the PO specify — we work from 4.8 through 12.9.

Finish not as approved

Plating thickness, coverage, patch or appearance outside the approved sample and the finish specification.

Fails under the specified load

A part that fails in service while the assembly torque, the mating part and the installation conditions were as specified.

Not a nonconformity

Damage after the parts left our floor

Parts broken by over-torque, driven with the wrong bit, re-used, cut, machined or re-plated, or stored outside the agreed conditions are outside the claim. So is a claim raised more than one month after receipt.

We manufacture to drawing, not to a photo. Two runs can look different and both be conforming — the drawing decides first, the performance requirement second.

This process covers what we make in Shenzhen: grades 4.8 to 12.9, sizes M0.6 to M20, in stainless, carbon and alloy steel, brass, aluminium and nylon — RoHS compliant, to DIN, ISO and ANSI.

Basis of judgement

The drawing is the contract

Every claim is measured against the revision on your PO: dimensional tolerance first, then the performance requirement. Nothing is judged on appearance, on a reference photo, or on what another supplier considers acceptable.

If your drawing was revised without telling us, the tolerance we worked to was the one we received — send the current revision and we will re-check both.

The process

Six steps from a batch number to a signed report

No portal, no account, no ticket number to chase. One thread, one owner, and a date on every step.

01
Report the batch
Day 0

You send the batch or lot number, photos of the defect and of the carton label, the affected quantity, and the drawing or PO revision the parts were made to.

02
Our first reply
Within 12 hours

A written solution: replace, rework, or a reasoned rejection. If something is missing we ask for it in the same reply.

03
Verification
Drawing in hand

We measure the sample or your measurements against the drawing: dimensions, grade and hardness, plating, and the performance requirement.

04
Third-party test
If we disagree

Either side can call for third-party testing. HIMORE advances the inspection fee and the laboratory result settles the lot.

05
Disposition
25-day rebuild

Defective stock is scrapped at your site, so nothing goes back on a ship. A free batch of conforming product follows, on a 25-day production lead time.

06
Closure
At shipment

Root cause, corrective action and a 5C report are issued for your supplier file once the replacement batch ships.

Before you send

Six things that decide the claim

The first reply is only as fast as the evidence in the first message. These six items are what we look at, in this order.

Evidence pack for a fastener quality claim
What to send What it settles
Batch or lot number Ties the parts to one production run. Without it we cannot open our own records.
Defect photo, close-up Shows the failure mode before parts move: burr, crack, plating skip, wrong length.
Carton label photo Confirms the batch, the date code and that these are the parts we shipped.
Affected quantity and lot size Scopes the disposition: one cavity, one lot, or a whole run.
Drawing revision or PO number The tolerance we are judged against. A revised drawing changes the answer.
Your measurement data Narrows the argument to one or two dimensions instead of the whole part.
Scroll the table sideways on a phone.

Families covered by this process

The same claim rules apply to every family below. They are produced to drawing in the same plant, so the batch number on the carton opens the same records.

Questions

Five questions buyers ask before a claim

What do I need to send to open a claim?

Batch or lot number, photos of the defect and of the carton label, the affected quantity, and the drawing or PO revision. With those four items we can start measuring the same day.

How quickly do you reply?

Within 12 hours of receiving the batch number and defect photos you get a written solution: replace, rework, or a reasoned rejection.

What happens if we disagree about whether the parts are in tolerance?

Either side can request third-party testing. HIMORE advances the inspection fee and the laboratory result settles the lot.

Do we have to send the defective parts back?

No. Scrap them at your site and send photos of the scrapped parts. We ship a free batch of conforming product instead.

How long does the replacement take, and what do we get at the end?

Replacement production is 25 days from the confirmed disposition. At shipment you receive the corrective action and the 5C report for your supplier file.

Still have questions about tolerance or inspection?

A claim is one reason to write. Tolerance questions, inspection method, approval samples, a batch you are about to order — send the drawing or the part number and the quality team answers directly.
